Datarens.se respects your privacy and is committed to protecting the personal data we process. This Privacy Policy describes how we collect, use, and protect information when you use our AI-powered SaaS service (the "Service").

1. Data controller

2. What data do we process, and how?

• File contents and raw data: When you upload an Excel, CSV, TSV, JSON, XML, DOCX, PDF, Parquet, ODS, or TXT file, or a ZIP archive containing multiple files, the file contents are loaded into the server's temporary working memory (RAM) solely for the time required by our AI models to perform the cleaning (normally less than 60 seconds). The files are never saved to disk and are completely and immediately removed from memory as soon as the result has been returned to you.
• Email address: Collected and processed when you create an account, sign in (through JWT sessions), or start a Business subscription.
• IP addresses and technical data: Processed temporarily in the system's protection layer to prevent distributed denial-of-service (DDoS) attacks and enforce Fair Use limits. This data is deleted or pseudonymised in our system logs within 24 hours.
• Payment and card details: Handled entirely in encrypted form and directly by our certified payment partner Stripe. Datarens.se never stores or handles your card numbers or sensitive banking details.

3. Purposes of processing

We process your personal data to:

• Provide and perform the data-cleaning service on your uploaded files.
• Administer your user account and track your usage in terms of the number of files used and rows cleaned.
• Manage payments and subscriptions, and send legally required invoices and receipts for the Business plan.
• Maintain platform security and prevent misuse of the system.

4. Legal basis for processing

• Performance of a contract: To provide the Service, clean your files, and manage your account and payments.
• Legitimate interest: To ensure operational reliability, protect the platform against misuse, and apply rate limiting.
• Legal obligation: To retain invoice documentation and transaction history in accordance with applicable accounting legislation.

5. Retention periods

• File contents (uploaded material): 0 seconds after the response has been delivered. The data exists only transiently in RAM during processing and is deleted immediately afterwards.
• Account data and user profile: For as long as you have an active account with us. If you choose to close your account, all associated profile data is permanently deleted within 30 days.
• Invoice and accounting data: Retained for 7 years after the transaction year in accordance with the Swedish Accounting Act.

6. Cookies and local storage

We do not use tracking cookies, pixels, or third-party advertisers. We use only strictly functional cookies and local storage (localStorage) in your browser to:

• Keep you secure and verified in the system (JWT tokens).
• Remember your account settings and ensure that your live statistics load correctly on the account page.

7. Your rights under the GDPR

To the extent that we process your personal data (such as your email address or account information), you have the right to:

• Request access to and copies of the personal data we have stored about you.
• Request correction of inaccurate or incomplete data.
• Request deletion of your account data (the "right to be forgotten").
• Object to or restrict our processing of your data.
• Lodge a complaint concerning our processing with the supervisory authority, the Swedish Authority for Privacy Protection (IMY), via imy.se.

Please note that because we do not retain any file contents from your cleaned files after processing is complete, we have no technical ability to access, change, or delete information that was present in your uploaded files.
